
Booking Terms and Conditions
Introduction
By booking or participating in a tour and any related products or services (a “Tour”) with Apollon Tours (“we,” “us,” or “the Tour Operator”), you (“you”) agree to these Terms & Conditions (the “Terms”). By making a booking, you acknowledge that you have read, understand, and agree to be bound by these Terms. If you make a booking on behalf of other participants, you guarantee that you have the authority to accept these Terms on their behalf.
The Booking Contract
1.1. Contract Formation
Your booking is confirmed and a contract exists when the Tour Operator issues a written confirmation after:
- You have accepted the offer within 48 hours.
- You have paid the applicable deposit or full amount.
- You have provided all requested information.
Please check your confirmation carefully and report any incorrect information immediately. A contract will not exist if you fail to meet these conditions.
1.2. Age Requirement and Information Accuracy
You must be at least 18 years of age to make a booking. You agree to provide full, complete, and accurate information. The provision of fraudulent or misleading information will result in the forfeiture of all payments and cancellation of services.
1.3. Booking on Behalf of Others
If you book on behalf of other participants, you are the designated contact person responsible for all payments, changes, and communications. You represent that you have obtained all required consents from other participants.
2. Special Requirements
Any special requirements (e.g., medical, dietary, mobility) must be disclosed at the time of booking. While we will use reasonable efforts to accommodate them, we cannot guarantee that all needs can be met.
3. Insurance
3.1. Strong Recommendation
While there are no mandatory insurance requirements, we strongly recommend that you obtain comprehensive travel insurance with a minimum of medical, evacuation, and repatriation coverage for all travel dates. We also recommend extending coverage to include cancellation, interruption, and losses due to “Force Majeure.”
3.2. Your Responsibility
You acknowledge that insurance is not included in the tour cost and is your responsibility to obtain. On the first day of your tour, a representative may verify your insurance coverage.
4. Prices, Surcharges, and Taxes
4.1. Price Guarantee and Surcharges
The price is guaranteed only after you have paid the deposit. After a confirmation invoice is issued, we reserve the right to impose surcharges for cost increases beyond our control exceeding 7% of the original price.
4.2. Your Options for Significant Price Increases
If a surcharge exceeds 12% of the original price, you may choose to:
- (a) Cancel the booking without penalty.
- (b) Accept the price change.
You must notify us of your choice within 7 days of notice.
5. Deposits and Payment
5.1. Deposit Requirements
A non-refundable deposit is due at the time of booking. For bookings made 60 days or less before departure, full payment is due. The deposit must be sent within 48 hours of accepting the offer.
5.2. Final Payment
The balance of the price is due 60 days before the departure date. If full payment is not received, we may treat the booking as canceled and retain the deposit.
5.3. Important Payment Notes
- Post-payments or installments are not accepted.
- Special discounted rates (e.g., early bird) require full, non-refundable payment at booking.
- A $500 reapplication fee applies if an offer is withdrawn due to non-payment.
6. Cancellation Policy
6.1. Cancellation by You
If you cancel a tour, the following fees apply:
- 60+ days before departure: Deposit is forfeited.
- 59 days to day of departure: 100% of the tour price is forfeited.
- After tour start: No refund for any unused services.
6.2. Cancellation by the Tour Operator

If we cancel a tour for reasons other than Force Majeure, you may choose:
- (a) A substitute tour of equivalent or superior value.
- (b) A substitute tour of lesser value with a price difference refund.
- (c) A full refund and a $200 future travel voucher.
We are not responsible for incidental expenses you incur (e.g., visas, flights).
7. Changes to Bookings and Itineraries
7.1. Changes by the Tour Operator
Travel requires flexibility. We may change itineraries due to unforeseen circumstances. If a “Material Change” is made more than 14 days before departure, you will be notified and given options.
7.2. Changes by You
Changes you request are subject to availability and our approval, and may incur administrative fees. No changes are permitted within 10 days of departure.
8. Customer Responsibilities
8.1. Travel Documents
You are responsible for obtaining and possessing all required travel documents, including a passport valid for 6 months after your travel concludes, visas, and permits.
8.2. Acceptance of Risk
You acknowledge that travel involves inherent risks. You assume responsibility for these risks and release the Tour Operator from claims arising from them. You must comply with all local laws and regulations.
8.3. Conduct
We may terminate your travel without refund if your behavior causes danger, distress, or material annoyance to others. You are responsible for any damage you cause to property.
9. Limitation of Liability
9.1. Third-Party Suppliers
We arrange services with third-party suppliers (accommodation, airlines, etc.). We are not liable for their acts or omissions.
9.2. General Limitation
To the fullest extent permitted by law, the Tour Operator is not liable for indirect, consequential, or incidental damages. Our liability for negligent acts is limited to the amount you paid for the tour.
10. Force Majeure
We are not liable for failure to perform our obligations if caused by Force Majeure events beyond our control, including but not limited to acts of God, war, terrorism, civil unrest, or extreme weather.
11. Additional Policies
11.1. Marketing
You consent to the use of any images or videos taken during the tour for marketing purposes without compensation.
11.2. Fraudulent Activity
Any fraudulent or misleading information provided by you will result in the forfeiture of all payments and refusal of service.
11.3. Privacy
You accept our Privacy Policy, which governs the collection and use of your personal information.
11.4. Applicable Law
These Terms are governed by the laws of Albania, and any disputes will be settled exclusively in the courts of Tirana.
11.5. Amendments
We reserve the right to amend these Terms. The most current version will be posted on our website.
